Who We Are

Easy Meet is a desktop application developed by Endurra Technology Company Limited ("we", "us", or "our").

This Privacy Policy explains how Easy Meet handles information when you use the desktop application. It applies to the macOS, Windows, and Linux versions.

What Data Easy Meet Processes

Audio Data

Easy Meet captures audio from your microphone and system audio output during a meeting session. This audio is:

• Streamed in real time to a third-party transcription service (Deepgram or Soniox — see Third-Party Services below).
• Never stored by us. Audio is never written to disk; it is streamed and discarded after transcription.

Transcripts

Speech-to-text output is stored locally on your device in an SQLite database:

• macOS: ~/Library/Application Support/Easy Meet/
• Windows: %APPDATA%\Easy Meet\

Transcript text is also sent to OpenAI for the purpose of generating meeting summaries, follow-up suggestions, and final meeting notes.

Meeting Summaries and Notes

AI-generated summaries, follow-up suggestions, and final meeting notes are stored locally on your device. They are never uploaded to our servers. You may optionally export and sync notes to Google Drive (see below).

Uploaded Documents

Documents you upload (PDF, Markdown, TXT, CSV) to provide meeting context are stored locally on your device, chunked and embedded using OpenAI's text-embedding-3-small model; chunk text is sent to OpenAI during embedding. Never stored on our servers.

Google Drive Sync (Optional)

If you enable Google Drive sync, meeting notes are uploaded directly from your device to your personal Google Drive account. Easy Meet's servers are not involved. Your Google credentials (OAuth tokens) are stored locally on your device.

Anonymous Usage Analytics (Optional)

Default: off. If you opt in via the app menu, the app sends anonymized usage events to Aptabase — a privacy-respecting, open-source analytics platform. Events include:

• App launch and session lifecycle (started, stopped, duration)
• Feature usage (export, share, theme, document upload)
• Error categories (AI failures, transcription failures)

No meeting content, transcript text, names, or identifiable user information is included. Events are associated with a random anonymous device identifier generated at first launch. You can disable analytics at any time via the app menu.

App Update Metadata

The app periodically checks for new versions by fetching a version metadata file from our update server (hosted on Google Cloud Storage). This check includes your IP address as part of a standard HTTP request. No other data is sent or logged.

How We Use Your Data

Third-Party Services

Easy Meet relies on the following third-party services to function. By using Easy Meet, you acknowledge that audio or text data is processed by these services under their respective privacy policies.

Important note on recording: Easy Meet captures audio that may include other participants in your meetings. You are responsible for obtaining any required consents from meeting participants before using Easy Meet in your jurisdiction. Many jurisdictions require all-party consent to record conversations.

Data Retention and Deletion

• Local data: All session data (transcripts, summaries, notes, documents) is stored on your device until you delete it within the app or uninstall Easy Meet.
• Transcription providers: Audio sent to Deepgram and Soniox is processed in real time and not retained by default. Refer to their privacy policies for exact retention terms.
• OpenAI: Text sent to OpenAI is processed to generate outputs and is subject to OpenAI's data retention and API usage policies.
• Aptabase: Anonymous analytics events are retained per Aptabase's retention policy.

Data Security

• All meeting data is stored locally on your device with standard OS-level file permissions.
• API keys for third-party services are delivered via an encrypted remote configuration file (AES-256-GCM) and stored only in the app's process memory during runtime — never written to disk in plaintext.
• Update downloads are verified via SHA-512 integrity checks before installation.

Children's Privacy

Easy Meet is not directed at children under 13 (or the applicable age of digital consent in your jurisdiction). We do not knowingly collect data from children.

Changes to This Policy

We may update this Privacy Policy. When we do, we will update the "Last updated" date above. For significant changes, we will provide notice within the app.
